This Privacy Policy applies to Ash Glover Design (“we”, “us”, “our”), a business operating from Cape Town, Western Cape, South Africa. Our website address is https://www.ashglover.co.za.
This policy explains how we collect, use, store, and protect personal information when you visit our website, contact us, or communicate with us through the WhatsApp Business Platform, including on behalf of our clients where we act as a technology provider.

Scope of This Policy
This policy covers two areas of our business:
- Our website at ashglover.co.za, including contact forms, cookies, and general browsing activity.
- Our use of the WhatsApp Business Platform, provided by Meta Platforms, Inc. (“Meta”), including messages sent to and received from us directly, and messaging services we build and operate on behalf of client businesses (“Clients”) who use our WhatsApp integration services.
Where we process personal data on behalf of a Client and their end customers, we act as a service provider or data processor for that Client. The Client remains responsible for obtaining appropriate consent from their own customers before those customers are messaged via WhatsApp.
Information We Collect
Website Use
When you use our website, we may collect:
- Information you submit through contact or enquiry forms, such as your name, email address, phone number, and the content of your message.
- Technical information such as your IP address, browser type, device information, and pages visited, collected automatically through standard web server logs and analytics tools.
- Cookie data, as described in the Cookies section below.
WhatsApp Business Platform Use
When you or a Client’s customer communicates with a business number connected through our WhatsApp integration services, we or our systems may process:
- The sender’s WhatsApp phone number and profile name.
- The content of messages sent and received, including text, images, documents, and other media shared.
- Message metadata, such as timestamps, delivery status, and read receipts.
- Information provided during automated conversation flows, such as responses to menus, forms, or chatbot prompts.
This information is processed using Meta’s WhatsApp Business Platform infrastructure and is subject to Meta’s own data handling practices in addition to this policy. How We Use Information
We use personal information for the following purposes:
- To respond to enquiries submitted through our website or WhatsApp.
- To build, configure, test, and maintain WhatsApp Business Platform integrations for our own business and for Clients.
- To send messages requested or consented to by the recipient, including customer service replies, order or appointment updates, and marketing messages where consent has been given.
- To maintain records required for business administration, accounting, and legal compliance.
- To improve our website and services.
We do not sell personal information to third parties.
Legal Basis for Processing
We process personal information in accordance with South Africa’s Protection of Personal Information Act, 2013 (POPIA). Depending on the context, our basis for processing includes:
- Your consent, such as opting in to receive WhatsApp messages from a business.
- Performance of a contract, where processing is necessary to provide services you or a Client has requested.
- Our legitimate business interests, such as responding to enquiries and maintaining service quality.
- Compliance with a legal obligation.
Where our website or WhatsApp services are accessed by individuals located outside South Africa, we also aim to handle personal information consistently with the principles of the EU General Data Protection Regulation (GDPR) where applicable.
WhatsApp Messaging Consent and Opt-Out
We, and Clients using our WhatsApp integration services, will only send WhatsApp messages to individuals who have opted in or otherwise provided a valid basis for contact, in line with Meta’s WhatsApp Business Messaging Policy.
Recipients may stop receiving messages at any time by replying “STOP”, blocking the business number within WhatsApp, or contacting us directly using the details in the Contact Us section below. We will action opt-out requests promptly.
International Data Transfers
Because we use the WhatsApp Business Platform, personal information sent or received through WhatsApp may be processed and stored on Meta’s servers, which may be located outside South Africa. Meta maintains its own safeguards for cross-border data transfers, described in its data policy linked above.
How Long We Retain Data
We retain personal information only for as long as necessary to fulfil the purpose it was collected for, including:
- Website enquiry data, for as long as needed to respond to and resolve the enquiry, and thereafter as required for record-keeping.
- WhatsApp message data, for as long as necessary to provide the messaging service, or as instructed by the relevant Client, after which it is deleted or anonymised unless a longer period is required by law.
Data Security
We take reasonable technical and organisational measures to protect personal information against loss, unauthorised access, alteration, or disclosure. No method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.
Your Rights
Subject to applicable law, you have the right to:
- Request access to the personal information we hold about you.
- Request correction of inaccurate or incomplete information.
- Request deletion of your personal information.
- Object to or restrict certain processing of your information.
- Withdraw consent at any time, where processing is based on consent.

If you would like us to delete the personal information we hold about you, including data collected through WhatsApp or our website, please send a request to ash@ashglover.co.za with the phone number, email address, or other identifying information associated with your data. We will confirm your identity where necessary and process deletion requests within a reasonable time, except where we are required to retain certain information for legal or administrative purposes.
Children’s Privacy
Our website and WhatsApp services are not directed at children, and we do not knowingly collect personal information from children without appropriate consent. If you believe a child has provided us with personal information, please contact us so we can remove it.
